Many approaches have been developed to make communication effective. Communication requires some basic elements to be borne in mind in order to achieve excellence.
Here are some of the approaches:
The 7 C's of Communication
Clear - The message should be simple and clear. If the speaker is clear in one’s mind, then the clarity will be transferred to the other person.
Credible - The message should be received as reliable and trustworthy. If the sender can establish trust, the receiver will have no problem in accepting the statement. However, establishing credibility is not the outcome of one statement; it is built over a period of time in the course of many interactions. In first time meetings, credibility is often established through appearances, presentation, communication, visiting card, brochures and other material that represents the organisation.
Correct - The message should be accurate and precise. The sender should back the communication with accurate facts and figures. Facts should be disguised in words.
Consistent - The message should be in keeping with other facts. There should not be too many deviations that lead to confusion in the mind of the receiver.
Concise - The message should be to the point and tailored. Weighty language may sound impressive but it may lead to no results if the key message or expectation is not clearly stated. Excessive information can also sway the receiver into a different direction. Hence, the amount of information provided should be just right not too much and not too little, it must be just in the right amount.
Concrete - The message should be firm. Thoughts should be presented without making them vague and abstract.
Courteous - The message should be delivered with politeness and consideration.
The 4S's of Communication
Short - The message should be brief but effective so that its transmission and comprehension is faster and more effective.
Simple - Simplicity in the usage of words and ideas reveals clarity in the thinking process of the sender.
Strong - A message with an adequate strength shows credibility which makes receiver believe in the message which is conveyed by the sender.
Sincere - The message should be delivered genuinely, frankly and earnestly. If the sender is genuine, it is reflected in the manner in which he/she communicates.
